Executive Assistant

What you ll be doing...

You ll ensure that all is running smoothly in the office. You ll be answering calls, greeting guests, planning travel, scheduling appointments, and essentially taking care of the day-to-day. You ll pull together reports and presentations, or you might plan an event or an office move. Your role is critical to creating an environment where everyone can do their best work.

  • Providing office support for the local team.
  • Scheduling and arranging meetings and appointments.
  • Answering calls and greeting visitors.
  • Preparing reports, presentations, proposals, and correspondence.
  • Onboarding new administrative team members.
  • Finding new ways to increase office efficiency and better ways to support the team.
  • Scheduling and arranging meetings and appointments includes managing the daily schedule, ensuring the SVP you support knows the schedule 24 hours in advance.
  • Manage travel arrangemetns and proactively coordinate the pre-planning of trips with various internal teams, including arranging appropriate travel, visas, agendas and necessary contacts, country information, and other necessary preparations.
  • Prepare and reconcile expense reports submissions, reimbursements and AMEX account. Ensure they are submitted in a timely fashion and that appropriate supporting documentation is provided.
  • Managed email contacts such as telephone, email, etc... Recognize business critical contacts and route appropriately for action based on urgency and business impact.
  • Reviewer of all expense reports. Ensure they meet the Verizon Expense Policy guidelines, appropriate documentation is included, release to the SVP for approval.

You ll need to have:

  • A Bachelor s degree or one or more years of work experience.

Even better if you have:

  • A degree.
  • Juggled multiple high priority projects.
  • Supported a team for their administrative needs.
  • Great Microsoft Office Suite skills.
  • Demonstrated ability to stay organized and meet deadlines.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
